HOW TO…

ATTEND ECAI 2020?

You need the following resources in order to attend the conference: 

  • Browser. To sign-up, to log in, to locate and access all ECAI events. ECAI Website: digital.ecai2020.eu
  • Zoom software. To access some of the Digital Rooms where the sessions will be held. Download page: https://zoom.us/support/download 
  • Whova App. To browse the program and access all ECAI events, particularly from your mobile phone/device. Download page: https://whova.com/download/. ECAI CODE required (see below): After signing-up and before the start of the conference, the Whova CODE to access ECAI will be sent to you by email. 
  • Speakers, microphone and webcam. To listen the audio of live streams and videos. 

SIGN UP AND LOG INTO ECAI WEBSITE?

You need to follow this procedure: 

  • Go to the ECAI Website: digital.ecai2020.eu
  • Click on the “Sign up” button on the upper right corner. 
  • Fill the form and you will receive an email with your account details. 
  • Come back to the ECAI Website: digital.ecai2020.eu
  • Click on the “Log in” button on the upper right corner. 
  • Fill the form with your username and password. 
  • A map of Santiago de Compostela will be shown. Now you can browse the conference contents clicking in the different buildings, as detailed in the section “HOW TO Browse the conference”. 

ACESSS THE ECAI CONFERENCE ON WHOVA APP?

You need to follow this procedure:

  • Open the Whova App in your mobile phone. 
  • Find the ECAI email where the ECAI code for Whova is provided (this to be sent by August 26th
  • Enter the ECAI code in Whova 

BROWSE THE CONFERENCE? 

FROM THE WEBSITE: The map of the conference is an easy-to-use tool to browse the events of the conference: 

  • Go to the ECAI Website: digital.ecai2020.eu
  • Click on the “Log in” button on the upper right corner. 
  • Fill the form with your username and password. 
  • Browse the map of Santiago de Compostela. The buildings indicate the important locations where all events are going to happen. 
  • Click on the buildings to gather information about their hosted events. 

FROM WHOVA APP: The app provides mobile access to the program as well as the events of the conference. Further details are provided in the following section. 

BROWSE THE PROGRAM? 

There are several ways to browse the program: 

  • Schedule at a glance. It can be browsed from different places:

      • Log in to ECAI conference by using the ECAI code (will be provided by August 26th). 
      • From the Main Window, go to AGENDA, located at the bottom of the screen. 

EXPLORE THE MAP ON THE WEBSITE?

  • Log in on the ECAI Website: digital.ecai2020.eu.
  • Browse the digital map of Santiago de Compostela. The buildings indicate the important locations where all events are going to happen.
    • You can go anytime to the map view of Santiago de Compostela clicking on the “Map” button, located at top right corner, that appears after logging in.
  • There are buildings that host social events (e.g. the Cathedral, or the Fonseca Palace, among others), technical sessions (Ada Lovelace Hall), main events (Alan Turing Hall), MC4SR sessions (Doctoral Arena), discussions (Debate Arena) and events with companies and exhibits (Exhibit Hall), among others.
  • Click on a building to see the list of events that will be hosted in it.
  • By clicking on the event’s name, you can see the description and relevant information, as well as the related sessions.

FIND AN EVENT/SESSION/PAPER ON WHOVA? 

  • From the Main Window, go to AGENDA, at the bottom of the screen. 
  • Click on the Search icon located in the upper right corner. 
  • Type to search: 
    • By the event/session/paper title, or 
    • by speaker, or 
    • by paper author/ID 
    • by keywords that may appear in the description 
  • You can filter the events of the agenda by their category. To do this, tap on Tracks, at the top of the screen, and select those of your interest. 
  • You can also navigate the agenda by days. To do so on the app, tap on “Full Agenda”, located under Tacks, at the top of the screen. Then, tap on the calendar that is located just below. The events/sessions of the selected day will be listed. 
  • For some events (e.g. the technical sessions, which have presentations of different speakers), the text “N Subsessions” will appear in blue. Tap on the event name to see the subsessions titles and schedules. 

FIND AN EVENT/SESSION/PAPER ON THE WEBSITE? 

  • Some events can be directly accessed from the Schedule at a glance (click on Program ­–> Schedule at a glance, in the menu at the top). The access to the digital rooms requires logging in with the credentials that you created during the sign up.
  • Go to the Full Program page to see the detailed agenda (in the menu at the top, go to Program ­–> Full Program). The link will only appear after logging in with the credentials that you created during the sign-up.
  • There is a Search box located in the upper right corner, just below the social network icons.
  • Type to search:
    • By the event/session/paper title, or
    • by speaker, or
    • by paper author/ID
    • by keywords that may appear in the description
  • You can filter the events of the agenda by their category. To do this, check the corresponding boxes in the list of Tracks, located at the right.
  • You can also navigate the agenda by days. To do so, click on the calendar that is located at the top. The events/sessions of the selected day will be listed below.
  • Click on the event/session name to see the details. Some of them may have different subsessions that will be listed below the event description (e.g. technical sessions, which have different presentations). Click on the subsession name to see the corresponding details.

ATTEND AN EVENT OR SESSION?

  • First, find the event/session you are interested in, using the map view of our website, the full program page, or Whova.
  • In the website, go to the Santiago de Compostela digital map and follow the link to see the detailed description of the session/event. For security reasons and in order to identify you during the sessions, you will be prompted an informative message you should accept.
  • Through Whova (full schedule, Whova app or web-app) you will need to create an Underline account for being authenticated at the platform. If this is your preferred way of accessing we kindly ask you to create it as soon as possible to avoid any delay in accessing the events.
  • Click on the LIVE STREAM button, at the bottom, to open the streaming of the event/session.

ATTEND A SOCIAL EVENT?

  • You can find the social events in the map view of Santiago de Compostela, where the buildings indicate the important locations where all events are going to happen. There will be social events in the following locations: Santiago’s Way, Cathedral, Fonseca Palace, Bonaval Convent, Santiago’s Market Hall and the Estrella Galicia Museum
  • Click on each building to see the details of the social event and go to the event details page. 
  • You can also find the social events navigating in the full program page, or Whova. Follow the link of the event to go to the details page. 
  • Finally, join the event clicking on the LIVE STREAM button, at the bottom, and enjoy!

 FIND OTHER ATTENDANTS ON WHOVA?

  • From the main window, go to ATTENDEES, at the bottom of the screen. 
  • You can click on the search icon at the upper right corner. Type to search by name/affiliation/school/location. 
  • You can tap on the attendant names to see their bio, profile details, suggest a meeting or send them a message. 

FIND A SPEAKER ON WHOVA?

  • From the main window, go to ATTENDEES, at the bottom of the screen. 
  • You can click on the search icon at the upper right corner. Type to search by name/affiliation/school/location, or 
  • you can browse the full list of attendees and filter them by category. To do this, tap on the Category filter located under the search icon, and select Speakers or Plenary Speakers in the list of categories detailed below. 
  • You can tap on the speaker names to see their bio, profile details, suggest a meeting or send them a message. 

FIND A SPONSOR?

  • Sponsors have a dedicated space on the website. You can find it navigating from the map view of Santiago de Compostela. Exhibits will take place on the Exhibition Hall. 
  • Click on the building to view the list of associated events. Then, click on Exhibits
  • Click on the sponsors logos to explore the contents that the sponsors have prepared for you. You can find, among others: 
  • Corporate information. 
  • Live events schedule. 
  • Media and other resources. 

INTERACT WITH SPEAKERS AND MAKE QUESTIONS?

Interaction between attendants and presenting authors will use chat and videoconferencing systems, depending on the type of event. For plenaries and Frontiers in AI the preferent way will be chat, whilst in other events with less attendees (e.g. technical sessions, STAIRS, workshops, tutorials, …) videoconferencing will also be used. Please refer to the initial section of this page to see the technical requirements, and to the HOWTO for presenting authors for further information. 

INTERACT WITH OTHER ATTENDEES?

  • On Whova, you can find attendees by their name, affiliation school or location. Tap on their name to see their profile. 
  • There are different ways in which you can interact with others: 
  • Send private messages: Below their name, tap on the “Say Hi” or “Message” to open a new conversation with someone. You can check your inbox in the MESSAGES pane, which can be accessed from the menu located at the bottom of the app. 
  • Exchange contact info: You can exchange the contact information filled in your profile, such as your phone or email, tapping on the corresponding button. 
  • Arrange a meeting: Tap on the “Let’s meet” option. This will open a new window in which you can specify the request details: duration of the meeting, available time slots, and the option to specify a personal message as well. 

JOIN THE BREAKS?

  • Breaks will take place in a virtual room using the Gather.Town technology provided by Underline.io. You can find the links to the virtual rooms navigating from the full program page, or Whova. 
  • 15 break rooms were set up for informal interaction among attendees. The rooms are named after cities which have hosted, are hosting or will host ECAI. Feel free to access any of the rooms to hold group live streaming conversations, walk in, out, and around those conversations as you would do in a real-life coffee break. You can also hold group conversations in parallel.
  • When different avatars get close, an emerging group videoconferencing will emerge, allowing live interaction. You can see Underline’s instructions for technical details.
